New Hire Tips:

Tip #1 Make sure you have the new hire's biographic information, including their month and day of birth before creating a manual record.

Tip #2 Be sure to use the filter on the Manage Tasks page to toggle between Human Resources and New Hire tasks when viewing and assigning tasks to the record.

Tip #3 Make sure your Office Administrator creates the required forms and uploaded documents tasks before getting started in the New Hires areas so those tasks will be available to you when you are ready to assign tasks and invite the new hire to the onboarding system.

Tip #4 Review the Tentative Offer (or invitation notification) and Official Offer notification text before sending to the new hire to ensure they include the Authentication URL (special access link). These type of notifications must include the Authentication URL in order for the new hire to access their onboarding account.


General USA Staffing Tips:

Tip #1 Before getting started in USA Staffing, check your Internet browser compatibility. Here is the link to do this: https://help.stage.usastaffing.gov/USAS/index.php?title=Browser_Compatibility.

Tip #2 If you log into USA Staffing and the page/ text is too large or too small, press CTRL on your keyboard while using your mouse scroll ball up and down to adjust the size of the text on your screen.

Tip #3 When you first log into USA Staffing you will be taken to your dashboard. As you complete work in the system the dashboard will help you track the work assigned to you.

Tip #4 The Vacancy Number is the quickest and easiest way to track your staffing action in USA Staffing. Remember to note it when creating a new vacancy.

Tip #5 If you get stuck and need assistance click the ? icon at the top of the page. This will allow you to either go to online help or submit a ticket to the USA Staffing Help Desk.

Online Help

To access Online Help, click the ? icon on the top of any page of USA Staffing.

Online help is divided into two types of help pages:

  • Click Help by Page for detailed information about system areas, sections, and pages. These pages are organized in the general order you do work within the system.
  • Click Help by Task for an extensive list of step-by-step instructions to accomplish a variety of tasks within the system. These tasks are organized in the general order you do work within the system.

USA Staffing Resource Center

The USA Staffing Resource Center provides information about USA Staffing including links to information about recent updates and special guides. To access the USA Staffing Resource Center go to: https://help.usastaffing.gov/USASUpgResCtr/index.php/USA_Staffing_Upgrade_Resource_Center.

Online Training Courses

USA Staffing Training is divided into modules so you can learn about each system area before you need to use it. The knowledge Portal contains a complete listing of available courses. It can be accessed at: https://staffing.golearnportal.org/.

Stage Site

The USA Staffing Stage site is a place where you can practice what you have learned from training and online help. You will need to work with your agency administrators to receive access to the site.
